Our work focuses on three sectors – Agri-Food, Water and Renewable Energy.SNV is in consortium with Stantec as lead, CEERD and DEM has been awarded the EU - Viet Nam Sustainable Energy Transition Facility. This facility is in the framework of EU budget support action with the Government of Viet Nam focused on Energy and Climate topics (SDG7 and SDG13). The Facility of up to EUR 8 million implemented in 70 months will provide, on a demand-driven basis, expertise and capacity development in areas such as technology and knowledge transfer through cooperation on areas like research, higher education and R&D for renewable energy and energy efficiency, renewable energy and energy efficiency policy, legal and regulatory frameworks, norms and technical standards, power market analyses, energy governance, energy information systems, energy budgeting and planning. The Facility will contribute to the achievement of Vietnam Sustainable Energy Transition Program (SETP) objectives of (i) improved energy efficiency; (ii) a larger share of renewable energy in the energy mix; and (iii) improved performance of the Viet Nam Energy Information System.
The Facility will lead the Policy Dialogue component of the action, taking over the Vietnam Energy Partnership Group. Moreover, the Facility will provide capacity development, providing demand-driven technical assistance, supporting the Vietnam energy information system.We are seeking for highly qualified candidate for the post Executive Assistant to support the implementation of SETP.
Responsibilities
Under the leadership of the Team Leader, the incumbent will provide the following roles and support to entire implementation of the project.Job Description
- Manage all administrative works for the Facility: troubleshoot daily operational and administrative problems and issues; ensure smooth communication between all relevant parties;
- Plan/coordinate meetings and events; participate in the meetings, prepare minutes of meetings and circulate them in English and Vietnamese for action points;
- Act as a liaison with internal and external contacts/stakeholders of the Facility; maintain a working relationship with stakeholders;
- Prepare/draft the monthly and six-monthly reports, letters, emails, and any other needed documents and correspondences;
- Oversee procurement processes for the project, collaborating with finance teams on budgeting, record-keeping, and invoice management;
- Translate correspondences, technical and legal documents from Vietnamese to English and/or from English to Vietnamese (when necessary);
- Act as an interpreter for the Team Leader in meetings with Vietnamese stakeholders (if/when necessary);
- Take charge of the Vietnamese visa issuance of the Facility Team Leader;
- Update and maintain projects' databases: information, documents, correspondences, reports, etc., as well as the stakeholders' contact database;
- Any other task required by the Team Leader.
Qualifications
- University degree
- At least 3 years of relevant working experience at international organisation(s)
- Understanding and experience in EU project is preferable
- Working experience in energy sector is an advantage
- Initiative and creative in solving problems
- Ability to work independently and with the team with multi-tasking and “can-do” attitude
- Good organizing skills and interpersonal skills
- Good oral and written communication skills (English and Vietnamese)
- Good computer skills in MS-applications (Word, Excel, Internet, Email)
- Willing to travel to other provinces.
