The Asia Injury Prevention Foundation (AIP Foundation) is a U.S. registered 501 (c)(3) non-profit organization addressing the pervasive and devastating rate of road traffic crash injuries and fatalities in developing countries through a holistic set of programs, with a particular focus on helmet use. Our pillared strategy includes helmet provision (manufacturing, selling, and supplying helmets); public awareness campaigns; school-based and targeted population campaigns; technical assistance, particularly focused on legislative advocacy and helmet standards; and research, monitoring, and evaluation. Currently, AIP Foundation has a 50-person staff with offices in Hanoi and Ho Chi Minh City, Vietnam; Phnom Penh, Cambodia; Bangkok, Thailand; and Chengdu, China. In addition, we also guide initiatives in Uganda and Tanzania, among others. I. Responsibilities:
- Ensure all proper accounting records are maintained with accuracy, timelines and completeness.
- To first check carefully bills, quotations, supporting documents and to ensure that the expenses are complied to the purposes or the needs of the activities developed in the budget in time before getting approval from Finance Manager.
- Ensure all statutory tax and accounting reports and filings are prepared and submitted timely and accurately.
- To ensure that up-to-date accounting information is available to the Chief Accountant and Finance Manager upon request.
- In charge of daily banking, processing bank payments and cash withdrawals, collecting statements and ensuring the safety of banking;
- Maintain an adequate level of office cash flow and petty cash to meet daily operating needs, safeguard office safe and ensure safety procedures are correctly followed;
- Maintain up-to-date and accurate financial records of a combined multi-transactions
- Ensure appropriate internal controls are in place to protect company assets, employees and operations.
- Prepare reconciliation reports for Bank account
- Cash management and disbursement; to manage staff’s advance and settlement
- Manufacture finance data reports for audit with Chief Accountant
- To provide guidance and/ or training on accounting procedures to other staff and partner as necessary.
- To keep all accountancy, salary and other sensitive information pertaining to the program confidential.
- To responsible for document filling (accountancy, expatriate file, house lease contract, telephone contract etc…).
- To be responsible for confidential information in charge.
- To be involved in new tasks like budget follow up, financial analysis.
- To prepare and provide other accounting information, administrative documents and reports as requested.
- Assist with other duties as directed.
II. Skills required:
- B.A degree in Economic or Accounting
- Knowledge or experience of non-governmental organisations (NGOs) would be an asset.
- Strong interpersonal skills and demonstrated ability to establish effective working relationship with local partners.
- Ability to work as part of a team.
- Wide connections within the administrative staff network either local or iNGOs;
- Good interpersonal communication skills;
- Talent in negotiating and dealing with practical issues;
- Diligent, factual, and sense of anticipation;
- Excellent writing skills in Vietnamese and English;
- Computing proficiency in Word and Excel.
