Duration of Assignment: Full time- from April 2022 to June 2022

Location: Aus4Skills Office, Hanoi

Working relationships include:

  • Aus4Skills Scholarship Manager, Deputy Program Director
  • Australian Department of Foreign Affairs and Trade (DFAT) through the Australian Embassy team members in Hanoi
  • Vietnamese sub-contractors including education, logistics and service providers.
  • Potential Australia Awards Scholarships applicants, awardees and alumni

Program Overview

The goal of Aus4Skills is to support Vietnam to access and use high level professional and technical knowledge, skills and competencies, to contribute to the country’s sustainable economic and inclusive development. The program also aims to deepen Vietnamese and Australian people- to-people and institutional links and therefore strengthen the partnership between the two countries.

Aus4Skills seeks to achieve these goals through the following program outcomes:

1. Male and female alumni use new skills and knowledge to make positive contributions to selected priority areas of Vietnam

2. Selected Government of Vietnam, private sector and civil organisations, and other partners, demonstrate positive organisational change in policies, practices or performance standards

3. Australia and Vietnam have stronger, sustainable links in selected sectors and agencies.

These outcomes are underpinned by the principle that gender equality, disability and social inclusion are integrated into all Aus4Skills activities. They will be accomplished through five main component activities:

  • Australia Awards Scholarships
  • Alumni Engagement
  • Capacity Building for Higher Education
  • Promoting Industry Linkages in Vocational Education and Training
  • Vietnam Australia Centre, a new initiative to foster leadership and policy development (including Mekong Australia Partnership)

Aus4Skills is managed by Tetra Tech International Development on behalf of Australia’s Department of Foreign Affairs and Trade (DFAT).

Position Summary

The Administration Officer will support the planning, delivery and reporting of scholarship activities of Aus4Skills through event, administrative, logistical and financial support. S/he will also support the program’s communications and stakeholder engagement related to scholarships activities The Programs Officer reports to the Scholarships Manager.

Key Responsibilities

The Administration Officer will:

  • Assist with the planning and delivery of scholarship activities to support their effective and efficient delivery in terms of event, administrative, financial and logistical support.
  • Contribute to the delivery of monitoring and evaluation activities (such as debriefings, surveys, feedback forms, service provider reports etc.) and assist with the preparation of information to ensure quality reporting and continuous improvement.
  • Assist Communication team in preparing scholarships related posts on Facebook, recording video.
  • Ensure gender equality, disability and social inclusion considerations are promoted and mainstreamed into scholarship activities where possible.
  • Ensure scholarship activities adhere to and foster compliance with DFAT’s policies regarding child protection, preventing sexual exploitation, abuse and harassment, privacy, fraud, and other cross-cutting areas.
  • Assist in identifying risks and mitigation measures for Australia Awards Scholarships and implementing those measures.
  • Undertake other duties as may be reasonably required by the Scholarships Manager.

Selection Criteria

Qualifications

  • Undergraduate degree(s) in education or related fields

Experience, Knowledge and Skills

  • Solid experience in general office administration
  • Substantial experience in liaising with clients
  • Experience in organizing/coordinating/facilitating in-person and virtual event functions, workshops and events
  • Competent in office packages, including Excel, Word, and Access, and experience experience using and entering information into databases
  • Experienced in using social media initiatives including Facebook and LinkedIn
  • Demonstrated ability to communicate with persons of various cultures and backgrounds representing a range of clients, stakeholders and government departments
  • Knowledge of the Australian university system desirable

  • Excellent interpersonal and teamwork skills.
  • Ability to handle multiple tasks with high attention to detail to ensure quality outcomes
  • High level communication skills in English particularly written skill.
