Duties

The incumbent of this position will oversee, direct, and execute all administrative functions and responsibilities for the Medical Unit as assigned by the Direct Hire Foreign Service Medical Specialists (Regional Medical Officer, Regional Medical Officer/Psychiatrist, and Medical Provider). The incumbent will act as a liaison and facilitator between the medical unit staff, officers from different sections of the Mission, family members, Locally Employed (LE) Staff, personnel from other agencies and regional posts, and medical, nursing and ancillary health services within the local community. The incumbent is under the direct supervision of the Medical Provider.

Qualifications and Evaluations

Requirements:
EXPERIENCE:
Minimum one (1) year of experience within a healthcare facility as an Office Manager or Administrative Assistant is required.
JOB KNOWLEDGE: Must have:
  • Detailed knowledge of the host country local medical care system as well as of the host country general office supply vendors and service providers.
  • Knowledge of office management systems and procedures; knowledge of customer service principles and practices.
  • Must understand basic accounting principles.
Education Requirements:
Two years of general college or university studies is required.
Evaluations:
LANGUAGE:
  • Good working knowledge in Speaking/Reading/Writing English is required. (This will be tested.)
  • Good working knowledge in in Speaking/Reading/Writing Vietnamese is required.
SKILLS AND ABILITIES:
  • Be proficient in Microsoft (MS) Outlook; MS Office (Word, Excel, Access, PowerPoint).
  • Be flexible, service-oriented, self-motivated and able to work within the existing Mission structure.
  • Ability to organize, multi-task, prioritize and work under pressure.
  • Possess strong customer service, verbal communication and listening skills.
  • Writing skill (This will be tested)

Benefits:
Agency Benefits: Locally Employed Staff working at the U.S. Mission in Vietnam will receive the following allowances and benefits in addition to the annual basic salary listed above. 1. Allowances: 
  • Unique Conditions of Work Allowance: 7% of Annual basic salary (subject to review every two years).
  • Miscellaneous Benefits Allowance: US$1,000 per annum for FSN-09 and below, and US$3,000 per annum for FSN-10 and above.
