- POSITION TITLE: Operational Liaison and Administrative Support Officer

- REPORTS TO (TITLE): Inspector/ First Secretary (ABF)
The key responsibilities of the position include, but are not limited to:
- Establish, strengthen, and maintain relationships with key internal and external stakeholders, including partner agencies, contractors, and suppliers.
- Provide linguistic and cultural support to the ABF Inspector/First Secretary and visiting ABF staff, including translating written Third Person Notes and verbal translation at stakeholder meetings, when required.
- Manage preparations for official visits, including logistics, planning, budgeting, administration and liaising with other agencies and external providers.
- Manage official functions/events and capacity building activities, such as training programs, including drafting agendas, organising facilities and logistics.
- Provide administrative support to the ABF Hanoi office, including the management of property and financial matters, calendar and diary appointments, management of filing systems, as well as general office duties. This also includes the preparation and processing of budgetary, financial, invoice and reimbursement documentation.
- Provide logistical support to the ABF Inspector/First Secretary and visiting senior ABF staff (as required), including managing travel and accommodation arrangements.
- Maintain an awareness of activities undertaken by the ABF Inspector/ First Secretary (investigations, strategic and operational activities) to enable the ABF Hanoi Office to provide accurate and timely response to border, customs, and civil maritime security agencies.
- Handle confidential and sensitive documents with high levels of confidentiality and privacy.
- Judge levels of risk and monitors emerging safety and security risks. Proactive action is required in altering plans and notifying others when unexpected events arise or demands change.
- Give feedback, support, advice, and guidance to less experienced colleagues.
Qualifications/Experience:
- Well-developed verbal and written communication skills and sound interpersonal skills, including the ability to build productive working relationships and communicate effectively at all levels in both Vietnamese and English.
- Strong interpersonal skills and the ability to work as part of an effective small team.
- Previous experience in an administrative support role.
- Ability to work with minimal supervision, plan, set priorities and meet deadlines.
- Ability to solve problems, be flexible and take initiative.
- Proficiency in computer software applications, including Microsoft Word and Excel, and the capacity to learn new systems.
- Demonstrated high-level organisational and analytical skills.
- Ability to apply ethical work practices and maintain integrity in all aspects of work.
- Experience in a foreign business environment or diplomatic mission desirable.
