Job Summary:

The Common Service section is looking for a dedicated and energetic individual to work as a Common Service Assistant. Under the direction of the Common Service Officer and/or the Consul, provides daily administrative support and services; provides and creates information and/or documentation to clients, including communication with the regional office in Manila; responds to service requests from clientele and performs other administrative duties as required.

Area of Selection:

This position is open to all applicants eligible to legally work in Vietnam, who meet the essential qualifications and conditions of employment, and whose applications are received by the closing date and time.

Please note that the Consulate General of Canada does not directly or indirectly sponsor work permits.

Essential Qualifications:

Candidates will initially be screened against the Essential Qualifications relating to education, experience and language. Candidates must clearly demonstrate in their cover letter and CV how they meet each of these essential qualifications.

Education:

  • Bachelor’s or equivalent degree from a recognized university

Language:

  • Fluency in English and Vietnamese, both written and spoken.

Experience:

  • A minimum of 2 years of employment experience in an office environment and providing administrative support. Experience in dealing with internal and external clients.

Rated Requirements:

The Rated Requirements relating to knowledge, abilities and competencies will also be assessed. Methods of assessment may include, but are not limited to, a written examination, an oral interview, role-play, practical tests, presentations and/or psychometric assessment.

Knowledge:

  • Knowledge of Microsoft Office applications including Outlook, Word and Excel.
  • Knowledge of general office administrative management practices, processes and procedures.

Abilities / skills:

  • Communicate effectively in English and Vietnamese, both orally and in writing;
  • Ability to plan and organize work in order to meet targets and work objectives;
  • Manage multiple priorities with tight deadlines.

Asset Qualifications:

Preference may be given to candidates who meet the Asset Qualifications. Where applicable, candidates must clearly demonstrate how they meet any asset qualifications in their cover letter and CV.

  • Experience working in a Foreign Embassy/Consulate and/or government office;
  • Experience using the SAP
  • Experience in procurement and contracting process;
  • Experience working with suppliers/building contractors;
  • Experience in human resources;
  • Experience in finance;
  • Ability to communicate effectively in French both orally and in writing.

Operational Requirements:

  • Hours of work: Mondays-Thursday: 08:00 to 16:30 and Fridays: 08:00 to 14:00
  • Must be able to work overtime on short notice on occasion;
  • Must be available for occasional duties outside normal working hours (i.e., evenings and weekends); and
  • Must be willing to travel in Vietnam and/or outside Vietnam.

Conditions of Employment (must be met)

  • Ability to obtain and maintain a valid “Reliability Status” security clearance from the Government of Canada, including providing, among other things, a criminal record check and validation of qualifications.
  • Legally permitted to work in Vietnam.
  • Ability and willingness to work overtime (evenings and weekends) on short notice as required.
  • Willing and able to travel domestically and internationally as required
  • The appointment of the successful candidate will be conditional on a one (1) year probationary period

Other Information

  • *Starting Annual Salary - Before tax and social insurance scheme contributions (Canadian or Vietnamese, as applicable); and 13th month bonus; salary is non-negotiable.
