Summary
The Communications Coordinator (CC) is based in HCMC, Vietnam, and reports directly to the Communications Manager (CM). The CC is responsible for all English editing and proofreading at AIP Foundation. In collaboration with program staff across different offices in Asia, the CC is responsible for coordinating the global communications activities for all AIP Foundation programs in Cambodia, China, Thailand, Vietnam, Myanmar, India, and the Philippines. Under the direction of the CM, the Communications Coordinator works in tandem with AIP Foundation’s Graphic Designer to create content that nurtures a positive public perception of AIP Foundation, and will be responsible for support in producing the organization’s Annual Report. Other daily responsibilities include but are not limited to: writing press releases and news on our programs, managing Global social media, overseeing media relations, managing the AIP Foundation Website.

Writing & Editing
Write and produce news items and press releases to ensure effective promotion of the organization’s image and work
Create content for AIP Foundation’s website and social media accounts (Facebook, Twitter, Linkedin, Instagram)
Assist program team and Executive Team, including CEO, with creating presentations and writing speeches for local and international conferences
Proofreading English-language content written by other staff at AIP Foundation
Social Media
Regularly update all platforms (with recent news, activities, relevant issues, interesting facts, and publications)
Monitor partners, sponsors, and other road safety stakeholder activities and share/like their post where relevant
Assist in the development of online campaigns
Fundraising on Global Channels
Research opportunities and eligibility for social media fundraising and/or online campaigns
Develop, implement and manage online campaigns that align with AIP Foundation’s mission
Develop digital deliverables to complement online campaigns

Update news page on program or relevant activities as they occur
Check and edit content regularly for relevance and accuracy to ensure that content cover all AIP Foundation results, activities and plans

Alert Web Developer immediately if any problem arise
Media Relations
Coordinate with program staffs on content and timelines
Update international media network database
Maintain international media archives
Upload final version of press releases and news items to website; create shortened news item on website for press releases
Google AdWords Express & Analytics
Explore Google Ad Grants' online services for nonprofits
Design ads to help create awareness, donations, and sponsors
Regularly assess and update Ads
Find and research words that are relevant to our work and what is most commonly searched
Utilize Google Analytics to monitor pages, visits, click through rate, and audience etc. for monthly reports
Production of AIP Foundation Annual Report
Assist with developing concept and content for AIP Foundation Annual report – start by September
Collect the information from all departments (Program, Development, M&E, Protec, and Finance staff across country officers)
Draft report content e.g. letter from the president, country pages, list of conferences and report papers, finances, staff list, sponsors, sustainability, and donation information etc.
Coordinate approvals from Program and Finance staff and proofreading among office native speakers; coordinate approvals by BOM
Print and publish the approved report through the newsletter, website, and social media.
Communications Materials Development
Coordinate creation, production, and dissemination of AIP Foundation’s global publications and communications materials
Point person for global video and multimedia project development
Work with the graphic designer and program teams of all countries to create program infographics, posters, and other program materials
Oversee the maintenance of the library and branding guidelines.
Provide support on correspondence, presentations, speeches, and events for management, as needed
Work with Development and Program teams on suitable communication practices to support projects and campaigns
Provide feedback and comments, if required to teams on the development of communication products at country level
Coordinate with program teams across different offices to create photo and video projects; maintain photo and video archives
Manage to compile AIP Foundation’s monthly global newsletter
Ensure articles are evidence-based, provide additional information, and tell an interesting story
Follow the process timeline and approvals for newsletters to be sent within the first week of the month
Email new email contacts to subscribe to newsletter based on monthly contacts updates received from Development
Upload the newsletters to the website and share on all social media platforms
Write content for brochures, flyers, infographics, posters, and other communication materials
Provide support on correspondence, presentations, speeches, and events for management, as needed
Provide feedback and comments, if required to teams on the development of communication products at country level
Respond to journalist requests and any other inquiries and requests sent to info@aipf-vietnam.org
Provide writing and editing support for communications materials, as needed
Assist with global video and design projects as needed

Attend networking and advocacy events, attend program events as requested

Support Programs and Development to apply for awards and other opportunities
Compile monthly communications report to be included Board of Management’s monthly report

Qualifications and Requirements
Native English speaker preferred, or equivalent language experience
Bachelor’s Degree in Marketing, Communications, Public Relations or relevant field
2+ years of experience in communications, including the writing of press releases, case studies and newsletters
Experience with branding and the effective production of printed and online materials
Familiarity with Mac operating systems, Graphic design software, and managing websites
Excellent interpersonal, communication and presentation skills and the ability to work effectively in a team
Exceptional verbal and written communication skills in English; including demonstrated ability to tailor communications to be effective for a range of audiences and purposes;
Ability to analyze information, evaluate options and work strategically;
Experience with branding and the effective production of printed and online materials
Experience working at an NGO and/or interest in road safety, public health, child health, or international development is a plus
