Development and Communications Manager

The Development and Communications Manager (DCM) is based in HCMC, Vietnam and reports directly to the Chief Executive Officer and works with staff from all AIP Foundation offices in order to secure funding for the organization and fully ensure brand consistency, coordination of messages, and the highest standards for external communications. To achieve this, the DCM develops and oversees the implementation of organization-wide fundraising and communication strategies. This position is responsible for managing a development and communication team of several staff across AIP Foundation offices, executing training, and ensuring that the team works in line with the fundraising and communication strategies. In addition, the DCM works closely with AIP Foundation’s programs, finance, monitoring & evaluation teams to ensure the effective proposal development, reporting, and communications to donors.

Description

Development strategy and implementation
  • Work with CEO to review the 5-year global development strategy
  • Work with Country Directors and National Program Director to develop and/or revise country fundraising strategies
  • Develop detailed 5-year development budget, and revise annually
  • Remain up-to-date with current fundraising trends; annually review the strategic fundraising/development environment and identify changes to the strategy
  • Revise plans and develop new initiatives
  • Ensure efficient implementation of the strategy
  • Work with development team to create annual work plans and internal reports on progress towards strategy implementation
Development processes, databases, and document management  
  • Develop, implement, and supervise development processes across the organization
  • Maintain an updated development manual
  • Work with development team to create the development workspace on podio (development database)
  • Oversee the organizational contact list on podio
  • Oversee development staff in managing documents and ensure consistent data entry
Identifying funding opportunities  
  • Cultivate relationships with current donors from corporates, foundations, and government aid agencies to ensure renewal of contracts
  • Research and develop plans to access multi-lateral and bi-lateral aid sources
  • Nurture new relationships with corporates and foundations to secure new contracts
  • Liaise with individual donors through meetings and networking events
  • Oversee online giving platforms to maximize donations
  • Supervise the establishment of an annual calendar of events and conferences; the creation of profiles of potential funders; the drafting of briefing documents for the conference attendee from AIP Foundation; and the effective follow-up of leads
  • Assess the needs for supporting materials such as annual reports, brochures, collections of personal stories, newsletter;  guide the Communications team in the development of those materials
Proposal development  
  • Guide the program teams to design “grant winning” projects
  • Oversee the development process for all new proposals, including the necessary meeting scheduling, contributions from key staff, and budgeting decisions
  • Along with Chief Executive Officer, responsible for approving final versions of all proposals
  • Develop narrative of AIP Foundation’s core services. This requires to work with counterparts throughout the organization to improve key proposal components, including:
  1. Collaborate with the development and communications team to develop standardized proposal text
  2. Support the monitoring and evaluation team to develop standardized impact figures and frameworks, including fatalities/injuries prevented, cost-savings, indirect/direct beneficiaries, and logical frameworks.
  3. Support the program teams to develop standardized project design components and frameworks
Grant agreement, compliance, and reporting  
  • Lead grant agreement negotiations; draft or revise agreements; coordinate feedback from programs, finance and CEO; coordinate signing of agreement
  • Conduct kick-off meeting to inform relevant departments (program, M&E, communications, and finance) of their responsibilities related to the grant
  • Oversee grant compliance, including compliance with relevant rules and regulations
  • Identify any gaps in compliance, and research, propose and implement solutions to key concerns
  • Revise and maintain an updated calendar of reports
  • Assign development staff to work with programs, M&E and finance teams to gather quantitative and qualitative information from project activities for cross-country project reports
  • Manage production of all required reports, timely approval by CEO and submission to donor
Donor liaison and external representation  
  • Manage ongoing relationships with existing partners and where relevant, leverage those relationships to greater impact
  • Ensure partner’s appropriate acknowledgement on AIP Foundation’s communication materials, publications, and websites
  • Coordinate with country directors, programs and operations to ensure smooth donor field visits
  • Represent AIP Foundation at national and international meetings, conferences, seminars, workshops
Print materials
  • Manage creation, production, and dissemination of printed publications for education, development, and administration purposes (such as monthly global and country newsletter, annual report, AIP Foundation communications materials)
  • Manage creation and selection of photography; maintain photo archive
  • Evaluate and negotiate vendor contracts including photographers, web-developers
  • Manage in-house style manual
Electronic communication
  • Website Management Ensure website structure and format is user-friendly, informative, attractive and covers all AIP Foundation activities and plans. Collaboratively manage and coordinate creation and update of web-content. Keep up-to-date with all program activities, development plans in target countries, and global road safety activities.
  • Social Media Strategy Implementation Maintain and further develop AIP Foundation’s social media accounts including Facebook, Twitter, Linkedin, Instagram. Regularly update and post on AIP Foundation activities, global road safety news, partner activities, and other relevant issues. Link social media posts to the AIP Foundation website to convey a cohesive message of road safety’s importance and progress.
Branding & design management
  • Oversee the various forms of communications within the organization to ensure the quality, brand consistency, accuracy, and coordination of messages
  • Ensure that messages are consistent and appropriate for the target audience
  • Work with Program teams on suitable communication practices to support projects and campaigns
  • Supervise the design process; Review briefs, timelines, copy, and designs
Media relations
  • Write, edit and distribute press releases
  • Respond to journalist requests, prepare briefings for interviews
  • Provide writing and editing support for case studies and papers, as needed
  • Provide support on correspondence, presentation, and speeches for CEO and other management, as needed
  • Maintain media archives
Staff Management
  • Oversee the workload and performance of the International Development Specialist(s), the Development Officer, the Development Coordinator, and the Development Assistant
  • Coordinate with the development teams to ensure all relevant tasks are completed
  • Conduct annual appraisals with the International Development Specialist(s), the Development Officer, the Development Coordinator, and the Development Assistant
  • Actively take part in assisting the professional development of the development team
Other
  • Attend networking and advocacy events, attend program events as requested
  • Conduct bi-monthly meetings with the team
  • Orientation new staff with Development and Communications processes etc.
  • Assist the President and CEO as requested
QUALIFICATIONS AND REQUIREMENTS:
  • Bachelor Degree in International development, Marketing, Communications, International Studies or relevant field. Master degree is a plus
  • Minimum 5 years of experience in developing and writing funding proposals, partnership development, donor reporting, developing communications for nonprofit organizations, people management.
  • Proven success cultivating and managing donations from diverse sources: individuals, corporations, foundations, and governments
  • Experience with bilateral and multilateral funding sources
  • Experience in writing press-releases and case studies; newsletters; design management
  • Demonstrated interest in international road safety; previous experience and current connections within international road safety field a plus
  • Native English speaker required.
  • Must have working knowledge of the local and national trends, regulations and issues concerning the INGO sector with in-depth knowledge and skills in fundraising and communications.
  • Demonstrates sensitively to the cultural and situational diversity of the donors and organization
  • Proven track record of a positive, active, strategic and collaborative contribution at a senior level
  • Excellent planning, management and coordination skills, with the ability to set priorities and organize a challenging and diverse set of responsibilities
  • Demonstrated experience in staff supervision and leading a team, including strong coaching and capacity building skills in a diverse and cross-cultural environment.
  • Strategic thinking and proven track record in business development / resource mobilization with major institutional donors, including fundraising strategy development, donor engagement, and proposal development
  • Outstanding written and verbal communication skills, including demonstrated ability to tailor communications to be effective for a range of audiences and purposes.
  • Understanding and experience in award/grant management, and resolving complex donor compliance and reporting issues, is a plus.

  • Ability to lead change management processes relating to policies, procedures, systems and structures

  • Passionate about the fundraising profession and its ability to contribute to resolving international development issues; up-to-date with current fundraising trends

  • Honesty and integrity in managing sensitive internal and external matters
