Executive Assistant to Board of Management


I. JOB PURPOSE  Reporting directly to the Director of Operations, the Executive Assistant provides executive support to the Director and serves as the primary point of contact for internal and external constituencies on all matters pertaining to the Board of Management.  The Executive Assistant also serves as a liaison to the Board of Management and senior management teams; organizes and coordinates executive outreach and external relations efforts; and oversees special projects. The Executive Assistant must be creative and enjoy working within a small environment that is mission-driven, results-driven and community and child oriented. The Executive Assistant must have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. The Executive Assistant will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.   II. RESPONSIBILITIES/DUTIES 
  • To act as first line of executive support to Board of Management.
  • To provide a smooth communication between the Director and internal departments; demonstrate leadership to maintain credibility, trust and support with senior management staff.
  • Complete critical aspects of deliverables with a hands-on approach, including drafting acknowledgement letters, personal correspondence, and other tasks that facilitate the BOM's ability to effectively lead the organization. 
  • To provide administrative and legal support to BOM regarding to arrangement for BOM travel, VIP donor visit, ensure the legal status of the Foundation.
  • To support the cultivation of ongoing relationships, including Government partners, corporate sponsors and donors.
  • Other assistance assigned by BOM.
  III. JOB REQUIREMENTS 
  • Vietnamese with a Bachelor or higher degree in relevant or business discipline, e.g. business administration, commerce, banking or equivalent.
  • Minimum of three years working experience at senior level or executive assistant in a multi-cultural company.
  • Excellent communication skills both in English and Vietnamese, speaking and writing.
  • Excellent computer skills and experience working with database, Microsoft Word, Excel and Access.
  • Willingness to travel on project visit.
