ORGANIZATIONAL CONTEXT
This job is for India Country Offices and report to the HOD/Finance Officer.
At this level job holders are expected to take responsibility for completion of a range of finance/budget related processes and activities requiring some interpretation of standard guidelines/practices.
JOB PURPOSE
To support effective delivery of finance and budget support services in order to facilitate transparent and efficient utilization of financial resources
KEY ACCOUNTABILITIES (not all-inclusive)
- Assist in providing the procedural and technical (finance) support to staff within the areas of finance and budget, to ensure compliance with WFP financial policies, rules & regulations.
- Monitor the sub-imprest bank and petty cash accounts regularly, to ensure that adequate funds are available and appropriately disbursed .This role will also act as Petty cash cashier
- Verify vendor claims, advances and other receivables and observe appropriate procurement procedures, to ensure that suppliers are paid in a timely manner and in conformance with WFP finance rules and regulations.
- Creates receipts and deposits of all incoming payments including receivables from staff members .
- Upload all the Invoices in Web based system (ITS -Invoice Tracking System) and processing the step by step process for payment transfers. Vendor review and clearing exercise.
- Notifies payees on status of payments.
- Monitor and record all expenses in line with the approved budget in order to ensure that correct expenditure costs are charged and payments to external suppliers, cash grants and other supplier invoices are processed in a timely manner.
- Coordination with bank on any payment ,fund or other related official day to day matters
- Processing the foreign currency payments for staff/counter parts official travel and compiling bank documentation in that regard
- Monitor monthly expenditure forecasts and provide expenditure reports in order to facilitate informed decision-making.
- Monthly recording and clearing of VAT/GST receivables and maintain related documentation
- Perform duties related to the financial accounting of fixed assets, spend on fuel and spare parts (FMS) for vehicles and generators, to ensure that the databases are accurately updated.
- Recording of monthly payroll of SC/SSA staff and ensuring timely payment
- Retrieve, format and validate information obtained from various financial information systems and bring any discrepancy or inaccuracy to the attention of the supervisor and follow up corrective actions.
- Maintains and keep up-to-date finance and accounts files
- Other related duties assigned by head of the unit.
STANDARD MINIMUM QUALIFICATIONS
Education : Completion of secondary school education. First level University degree Accounting/Finance/Business Administration or any related field is desirable.
Experience: Minimum 4 years of relevant experience in finance/ accounting/budget area is required. Experience with Enterprise Resource Planning (ERP) in finance and budget modules is required.
Experience of working in International NGO/organization will be an added advantage.
Language: Fluency in both oral and written English is required.

Mode of Engagement:
The salary for this position is non-taxable (subject to medical and pension deduction). The incumbent will be entitled for benefits related to medical, pension, leave as per WFP policy.
