HR Assistant  & Cashier


Department: OUCRU - HN Location: This post is based in Hanoi, Viet Nam. There will be a requirement to travel within Viet Nam to support projects, mainly in the northern region, and internationally to attend conferences. Hours of work: Full time Monday – Friday, 37.5 hours per week, extra hours may be required. Tenure: Initially for 01 years, including a 02 month probation period, with possibility of extension based on annual performance appraisal and research approval Reporting to: Head of Admin & Finance OUCRU - HN Vacancy reference: JDHAN_0920_008   Background The Oxford University Clinical Research Unit (OUCRU) is a large-scale clinical and public health research unit based in Viet Nam. We are hosted by the Hospital of Tropical Diseases (HTD) in Ho Chi Minh City, and the National Hospital for Tropical Diseases (NHTD) in Hanoi. We also have sister units in Kathmandu, and Jakarta.  As a Wellcome Trust Major Overseas Programme, we have received considerable support from the Wellcome Trust since our establishment in 1991. Our ten-year vision is to have local, regional and global impact on health by leading a locally driven research programme on infectious diseases in Southeast Asia. This is being achieved via an integrated long-term research programme, contributions to training, the scientific literature, national and international meetings and membership of national and international committees. Priority is given to health issues important to the hospitals, and to Viet Nam as a whole. All work is intended not only to benefit the patients seen daily at our host hospitals but also to help improve patient care throughout Viet Nam and the region. OUCRU employs approximately 320 people across Viet Nam and has an average annual budget of USD 12mil. Please see more information on OUCRU Website: www.oucru.org   Job summary A highly motivated HR  Assistant & Cashier  is required to work with in our Administration Department to assist for Head of Admin & Finance in performing a variety of personnel-related administrative tasks, to contribute to the continued growth and development of OUCRU  in Vietnam   Key tasks and responsibilities
  • Maintain HR current files and databases by updating and entering data.
  • Assist with the recruitment process.
  • Schedule meetings, interviews, HR events.
  • Prepare HR documents for new employee files.
  • Assist payroll accountant by providing relevant employee information (e.g. leaves of absence, sick days and work schedules)
  • Arrange annual health check for staff
  • Keep tract of staff health insurance
  • Provide day-to-day support and advice to line managers and employees on HR related issues
  • Actively contribute to the development and implementation of HR policy, procedures
  • Keep up-to-date with the latest HR trends and best practice.
  • Provide general administrative and clerical support as required by Head of Admin & Finance
  • Preparing petty cash payments and advances
  • Help to collect and arrange documents of cash payment
  • Withdrawal cash from bank and keep in safe
  • Report on monthly cash payment
  • Other tasks as required.
  Selection criteria Essential Criteria:
  • Proven work experience as an HR administrative assistant or HR administrator
  • PC literacy and experience with MS Office applications
  • Strong data management with excellent accuracy
  • Demonstrated ability to maintain high levels confidentiality
  • Excellent organizational and time-management skills
  • Teamwork skills
  • BS degree in human resources, business administration or relevant field
  • Excellent interpersonal communication/diplomatic skills with people of different backgrounds and social positions
  Desirable Criteria:
  • Master degree in Business Administration, HR or relevant field
  • Hand on experience with HR software
