Office Management Assistant – All Interested Applicants


Duties
The incumbent serves as Executive Assistant to the Management Officer (MO).  Under the direct supervision of the MO, functions as an Office Manager in ensuring that a variety of management support functions are carried out on behalf of the entire Management Section.  The duties include but are not limited to reviewing all correspondence/documents, advising MO on common administrative policy decisions and procedures within the Consulate’s Management Section, coordinating activities among all Management sections/units as directed by the MO, providing instructions and assign tasks as directed by MO, liaising with other diplomatic missions and providing translation and interpretation. The incumbent functions as the bridge between the Management Officer and other Consulate offices and sections, especially between the Management Officer and LE Staff. This is also a key position in the Consulate’s Visitors Support Unit. The incumbent is the Project Manager for fundraising efforts for the annual Independence Day event.
Qualifications and Evaluations
Requirements:
EXPERIENCE:  Three years of administrative or secretarial experience in an embassy, consulate, or international company is required. JOB KNOWLEDGE: Must know or be able to acquire excellent knowledge of the Consulate – its personnel, operations and function. Must understand standard local culture, government and business climate and have or acquire excellent knowledge of Ministry of Foreign Affairs/External Relation Office and the government of Vietnam’s (SRV) hierarchy. Must understand how to efficiently run the administrative and protocol affairs of an office.
Education Requirements:
College or University studies is required.

This may be tested. LANGUAGE:  Fluency Level Speaking/Reading/Writing of English is required.  Please clarify level of your English and Vietnamese language skill on your application. Fluency Level Speaking/Reading/Writing of Vietnamese is required. SKILLS AND ABILITIES: Must have demonstrated typing skills and high proficiency in operating software, including Windows, Microsoft Word, Excel, Outlook, Sharepoint, and PowerPoint, as well as proficiency with other equipment such as printers, scanners, photocopiers and fax machines.  A sense of protocol and propriety is essential; should have proven organizational and communication skills. Must be discreet.
