Office Manager


The Embassy of Peru is looking for national candidates to fill the following position: Job title: OFFICE MANAGER Work place: Embassy of the Republic of Peru, 16 Phan Chu Trinh, Hoan Kiem, Hanoi Contract timeframe: One year (with very high chance of extension) Expected starting date: 16/7/2020 Main requirements: • At least 5-year experience for Accountant, or Administration position; • At least 5-year experience in a job using English; • Must have good English skills, Spanish is a plus; • Skillful to use various Microsoft software programs (Excel, PowerPoint, etc.); • Good negotiation and good communication skills; • Able to work well under pressure and overtime; • Multi-tasking, active, hard-working, faithful, team-work and high responsibility. Job descriptions: Accounting work • Prepare accounting and finance reports on quarterly and yearly basis, or anytime as required; • Manage and control budget in terms of compliance and efficiency; • Develop budget plans for culture/ commerce/ consular activities; • Process payments (in cash and bank transfers); • Maintain cash book and bank book; • Implement VAT refund on quarterly basis; • Prepare PIT reports and deal with Tax Department Administration work • Maintain office lease contract, residence lease contract and other service contracts for office smoothly operation; • Keep regular maintain schedule for office equipment’s; • Arrange working trips in and outside of Vietnam, including transportation, tickets, hotels, etc. • Check and maintain inventory; • Support organize culture/ commerce/ consular activities; • Schedule appointments, meetings as well as manage and track work schedules; • Draft letters out and other documents at higher levels; • Manage and keep a good filing system both in hard copies and electronically; • Take note at meetings and prepare reports as required; • Actively identify and solve administrative and office related issues; • Perform other duties assigned by diplomats. Human resource management • Manage labor contracts; • Prepare and process payrolls, including contribution of compulsory insurances according to Labor Code of Vietnam • Deal with Insurance Department for updating all changes on labors and full-filling related reports. • Responsible for checking and implementing the Embassy's health and safety policies; How to apply: Candidates interested in the post can apply for the post by sending us: • CV in English or Spanish • Copies of degrees or certificates Deadline to apply: 17/05/2020 (First come first serve).
