Partnership Coordinator (Full Time post, based in Hanoi)

We are Newborns Vietnam (NBV), a small but well-established UK registered charity and we are licensed to operate as an NGO in Vietnam.

Our mission is to ‘save newborn lives’ by reducing neonatal mortality (newborn deaths in the first 28 days of life) and promoting the health of newborn infants and their mothers.

We are looking for a Partnership Coordinator to work alongside our dynamic Executive Director to share our message ‘Every Baby matters, Every Baby deserves an equal chance to survive and thrive.’

I. Core Responsibilities

  • Work alongside our Executive Director to develop an annual fundraising plan, take the lead in increasing our network of supporters, set up and manage our CRM system, focusing on our charity’s relationship with key sponsors and inspiring new sponsors and individual donors.
  • Assist the Executive Director in delivery of the Fundraising Strategy: maintaining relations with current donors/funding partners, expanding the network with new corporate and individual philanthropists.
  • Support the Executive Director in writing proposals, budgets, preparing presentations, etc for raising funds from corporate and individual donors for Newborns annual programmes:  Neonatal Postgraduate training for doctors and nurses, Neonatal Managed Network, Lifesaving Equipment, National Resuscitation (NLS) and Neonatal National Curriculum.
  • Set up and manage our new CRM system.
  • Maintain positive relations with individual and corporate partners and donors, in particular with Marketing and PR teams.
  • Keep the donors and funding partners updated on the programme progress with reports as detailed in any sponsorship agreements.
  • Provide regular quarterly updates to all sponsors and prospective sponsors/contacts.
  • Maintain awareness of appropriate grant funding opportunities, review existing opportunities and map connections, encourage introductions.
  • Assist in managing the annual fundraising budget.
  • Be in charge of administration work that supports the relations development with donors and partners. i.e. draft funding agreements, prepare sponsorship and partnership proposals, presentations with support from [external graphics or PR executive].
  • Work with internal staff and external consultants / agencies to ensure provision of adequate draft copy/raw material, in particular photos and videos, to meet social media and website post need.

Event/Social Responsibilities

  • Assist in the development and execution of fundraising events and other medical and nursing education events.
  • Assist in the development and management of annual revenue generating events e.g.: VNG Ironman 70.3, Vietnam Trail Marathon, Vietnam Mountain Marathon, UpRace, Empire City Swim Gala, Wardrobe (fashion) and ad hoc events.
  • Assist with administration and logistics of Newborns annual sharing experience seminar, graduation ceremonies and equipment handover events.
  • Coordinate with partners, suppliers and volunteers to deliver event expected outcomes.
  • In charge of administration work that supports event organising such as event invitation, post-event report, follow-up, etc.

 Other

  • When required, support the staff team with bilingual translation of documents (Vietnamese to English, English to Vietnamese).
  • When required act as interpreter/MC, (Vietnamese to English, English to Vietnamese). for training events or meetings (informal and informal).
  • Undertake any task reasonably in line with the level of the post.

II. Person Specification

  • The Partnerships Coordinator is a multi-functional role that would suit someone who is creative, confident with absolute integrity, and strong administration and organisational skills.
  • Identifies with the charity’s cause and our goal to end preventable newborn deaths,
  • Ability to influence others through excellent communication skills, oral and written, in both English and Vietnamese,
  • Ability to build and maintain relationships, at both an individual and a corporate level, both with local and international organisations,
  • Creativity, imagination and an entrepreneurial attitude towards fundraising;
  • Be self- motivating, and have a proactive attitude, drive and enthusiasm to carry out tasks to their conclusion,
  • Capability to prioritise tasks work under pressure and meet deadlines,
  • Ability to motivate others and work as part of a team,
  • Ability to use computers and common programmes (Office Suite of programmes),
  • Understanding of, and ability to use, social media,
  • Experience with CRM system would be an advantage,
  • Ability to manage and coordinate the delivery of graphics and advertising,
  • Sensitivity to the needs of volunteers and donors, and to cultural differences,
  • Willingness to travel within Vietnam,
  • Flexibility and the willingness to work outside normal office hours,
  • Degree level qualification.
