Project Assistant (PA)


The Opportunity

This Project Assistant (PA) is responsible for assisting and implementing activities of the “Child rights in coffee sourcing” project and supporting other projects in CRG program. This position will provide logistical supports for the project implementation as well as for the MEAL (monitoring, evaluation, accountability and learning) activities to ensure effective, efficient and cost-sensitive operations of the Child rights in coffee sourcing Project.

In the event of a major humanitarian emergency, the role holder will be expected to work outside the normal role profile and be able to vary working hours accordingly.

Key Responsibilities

Program Planning and Implementation

  • Support project/program team to develop detailed implementation plan and provide supports for partners in developing their respective detailed implementation plan
  • Coordinate logistical issues of project activities (meetings, events and workshops, procurement…) to ensure that project activities/program are implemented in high quality and effectively.
  • Provide supports for project team to produce and submit monthly/quarterly/annual workplans, procurement plan, progress updates and reports to the project manager
  • Provide inputs for project IEC materials development, including video clips, leaflets, posters and standees, etc.
  • Regularly track and document project data, information and lessons learned for better planning and finding solutions to overcome emerging issues during project implementation.
  • Report to the Project Manager and Project officers any problems which are arisen during project implementation.
  • Provide translation and interpretation for the project (if required)
  • Support to ensure project partners follow the key project policies including Child Safeguarding, Construction, Fraud, Code of Conduct, Anti-Harassment and Financial regulations

Finance Management and Budget control

  • Comply with SCI and donor requirements on expenditures and provide support to partners on compliance;
  • Support project team and partners in budget planning, expenditures, procurement, and settlements of expenses.
  • Support project team and financial staff to conduct financial visits to partners (if required).
  • Assist the Project officers in monitoring partners’ budget, burn rate, and report the Project Manager of any anticipated problems;
  • Monitoring, evaluation, reporting and capacity building
  • Support the project/program team to monitor project activities conducted by partners to ensure project activities implemented as per work-plan and quality benchmarks.
  • Collect and submit monthly reports that compile the numbers trained and numbers reached in each area, achievements, challenges and lessons learned;
  • Take photos and consent forms from beneficiaries.

Representational/Coordination/Networking

  • Meet with local partners, on a regular basis, record minutes, cooperate and collaborate on project planning and implementation.
  • Maintain collegial working relationships with all stakeholders through collaboration and cooperation
  • Ensure effective communication in order that all partners are well informed on project objectives and activities
  • Actively collaborate with sectoral colleagues in SCI Vietnam to promote shared directions, exchange best practices, and provide assistance.

QUALIFICATIONS

  • Bachelor’s degree in public health, social work or related field
  • Good in English and Vietnamese (listening, writing and speaking).

EXPERIENCE AND SKILLS

Essential

  • At least 1-year experience working for NGO environment, including experience in project implementation in related field is preferable.
  • Experience working with government counterparts at province, district and commune levels.
  • General knowledge/experience of effective admin and finance is desired
  • General understanding of challenges facing vulnerable children and communities in Vietnam.
  • Commitment to humanitarian principles/accountability frameworks, especially for work with vulnerable populations
  • Demonstrated capacity to work in a team environment. Work independently, focused on maintaining high quality work.
  • Good interpersonal skills.
  • Ability to regularly travel to project sites

Desirable

  • Ideally, experience in CRG programs with NGOs/INGOs.
  • Have a very high level of personal and professional integrity and trustworthiness;
  • Be both self-confident and humble.
