To contribute to the delivery of high quality and high impact activities under the Arts and Creative Industries; to play an active role in ensuring high visibility of the British Council arts and cultural activities to relevant stakeholders and the general audiences.
Main opportunities/challenges
• Opportunities to develop understanding of work in international cultural relations, especially between the UK and Vietnam, and to acquire practical skill sets necessary for management of the arts and creative industries.
• Challenge of working in a fast-paced environment, which requires high capability in dealing with multiple tasks, paying attention to small details, and meeting tight deadlines
Main Accountabilities
Programme support
• Delivers a range of administrative services within agreed corporate procedures, to maximise quality, continuity and efficiency
• Maintains accurate records as they relate to the work area and drafts routine and some non-standard documentation, reports or financial analysis/reconciliations.
• Provides logistical support to the organisation and delivery of internal and external activities/events, to ensure they run smoothly and efficiently.
• Plays an active role in the delivery of activities by the Arts and Creative Industries team by fulfilling the following specific tasks:
(i) works alongside with the Arts Managers in the organisation of events such as festivals, exhibitions, performances, workshops, conferences, cultural exchange visits, etc.;
(ii) contributes to the planning of activities and reporting;
(iii) coordinates logistics and administrative support for visits by arts consultants and team members to workshops/conferences and other events and field trips;
(iv) liaises with external stakeholders, delivery partners, and goods and service providers in implementing activities;
(v) under-takes audience survey where appropriate;
(vi) coordinates partners’ feedback on projects/programmes/activities by the team;
(vii) under-takes vendor set-up, liaisons, and payment accordingly to plans and in agreement with Arts Managers;
(viii) coordinates the production and distribution of promotional items as well as publicity arrangement at events;
(ix) plays a key role in the up-keeping of contact database, filing documents, and publications;
(x) coordinates arts content for office e-zine, web page, and other social media channels to ensure visibility of all projects/programmes/activities by the team.
Relationship and stakeholder management
• Proactively communicates and liaises with others (inside and outside the British Council) to ensure effective coordination and delivery of events, services and activities
Finance and resource management
• Monitors and takes responsibility for small-scale resources/cash/stock, following established procedures and ensures that equipment and materials are available and ready to use when needed
Managing self and others
• Plans and prioritises own work activities, responding to changing requirements to ensure effective delivery of responsibilities over a daily/weekly time horizon
• Tasks and coordinates others (e.g. internal colleagues or external contractors/suppliers) to complete time-limited, straightforward activities, within established procedures, in order to ensure efficient delivery of services. Monitors task completion to agreed quality and time standards.
Requirements
• Graduate degree from relevant field
• English at Proficiency Level (4 skills)
• Minimum 3 years of proven experience in event/project management and in general administration
• Good knowledge of work in the arts, cultural relations, education, or civil society;
• Proven track record in event organisation

Additional Information
• As we cannot sponsor work passes, applicants must already have the right to live and work in Vietnam.
• The British Council operates seven days a week. All posts may be required to follow working pattern that include unsocial hours. Travel for business purpose could be part of the duties.
