Summary:
The work schedule for this position is:

Duties

Under the direct supervision of the Regional Director and the Deputy Regional Director, incumbent of this position will performs a variety of administrative support duties serving as the operational, logistical, and senior administrative assistant functions at the U.S. Department of Health and Human Services/Centers for Disease Control and Prevention’s Southeast Asia Regional Office, located in the U.S. Mission Hanoi.  The incumbent will provide the full range of “Front Office” secretarial services, administrative and clerical functions at the highest level; also, maintain all calendar related functions for the Director and Deputy, review all correspondence/documents, receive all incoming telephone calls and meets visitors courteously, provide secretarial/administrative support for high level visitors, and demonstrates patience, tact and diplomacy in all situations.  In addition to administrative requirements (such as travel, correspondence, time and attendance, record keeping, etc.), s/he will provide direct support to the regional director, the highest-ranking agency official in the country and in the Southeast Asia region.

Qualifications and Evaluations

Requirements:
EXPERIENCE:  At least five years’ experience as office manager, executive secretary, or program assistant is required. JOB KNOWLEDGE: Must have:
    • Mastery of English/Vietnamese grammar, spelling, punctuation, paragraphs and sentence structure (syntax).
    • Demonstrated proficiency in typing various correspondence formats (i.e. memorandum, letters, reports, faxes, etc.) as well as standardized documents and forms.
    • Thorough knowledge gained from prior work experience in how to provide dependable secretarial/administrative support and assistance to the executive management level.
    • Thorough knowledge of business principles, concepts, and methodology involved in administering document and data management systems and other aspects of an office environment.
Education Requirements:
A Bachelor's degree in Business, Management or English is required.  
Evaluations:
LANGUAGE:  Fluent in Speaking/Reading/Writing English is required. (This will be tested.) Fluent in Speaking/Reading/Writing Vietnamese is required. SKILLS AND ABILITIES: Must have/be able to:
    • Strong computer skills, including proficiency using Microsoft Office Suite.
    • Digest large amounts of information and organize it into a useful format.
    • Excellent organizational and time management skills, including setting priorities and multitasking.
    • Take initiative and exercise sound independent judgment within areas of responsibility.
    • Strong interpersonal, communication, and customer service skills.
    • Write succinctly, clearly, free of errors and be able to compose correspondence from brief instructions.

For EFMs, benefits should be discussed with the Human Resources Office. The pay plan is assigned at the time of the conditional offer letter by the HR Office.
