Organizational context and scope:
Under the overall supervision of the Chief of Mission (COM) and direct supervision of the Head of
Projects and Partnerships in IOM Viet Nam and in collaboration with relevant units in the Country
Office, the successful candidate will be responsible and accountable for supporting the timely and
quality reporting, data research for evidence‐based proposal development, briefing and
correspondence.
Responsibility and accountabilities:
- In close coordination with the project units under the IOM Hanoi Program, provide
specialized support to the Head of Projects and Partnerships with monitoring and reporting
activities, including compiling, analysing, and presenting information for reports, drafting
and editing reports for internal management, donors, relevant IOM offices and partners.
- Serve as contact person/link between the Heads of Projects and Partnerships and project
teams regarding project monitoring and reporting issues and information; keep project
teams informed by sharing meeting minutes, latest reports and other relevant information
that have been finalized; collect, process, analyze and present data on project
implementation progress on a regular basis, referring to the project results matrix and other
agreed internal monitoring tools, as assigned; bring sensitive and urgent matters to the
attention of the Heads of Projects and Partnership.
- Under the overall guidance of the Head of Projects and Partnerships, support the drafting of
concept notes and conduct relevant research, and prepare summary of relevant reports
available both internally and externally to facilitate evidence‐based quality work.

- Support the COM and Head of Projects and Partnerships to draft correspondence and
independently obtain clarification. Conduct research and select information from various
sources and present findings in appropriate form to support preparation of briefing material
for the management review and discussion.
- Support the Heads of Projects and Partnerships in coordinating and carrying out research
initiatives.
- Liaise with appropriate project unit staff to coordinate timely submission of inputs to
publications, reports, and other documentation.
- Coordinate the implementation of the “Tackling Modern Slavery in Viet Nam” project
funded by the UK Home Office and the “Strengthening National Centralized Data Collection
of Trafficking in Persons in Viet Nam” project funded by the IOM Development Fund during
the project lead’s maternity leave.
- Undertake duty travel as needed to conduct activities related to monitoring and evaluation,
project support, project reporting, for meetings and to participate in training.
- Perform such other duties as may be assigned.
Required qualification and experience
EDUCATION
- High School diploma with seven years of relevant working experience; or,
- Bachelor’s degree in development studies, Migration Studies, Social Sciences, or related field
with five years of relevant professional experience.
EXPERIENCE
- Relevant experience such as project monitoring and reporting, research, office/clerical
works;
- Attention to detail, ability to organize paperwork in a methodical way;
- Discreet, details and clients‐oriented, patient and willingness to learn new things; and,
- Prior work experience with international humanitarian organizations, non‐government
or government institutions/organization in a multi‐cultural setting is an advantage.
SKILLS
- Proficient in Microsoft Office applications e.g. Word, Excel, PowerPoint, E‐mail, Outlook;
- Knowledge with tools and strategies for data collection and analysis, and production of reports preferred
