OVERVIEW OF THE FUNCTIONS OF THE POST
1. Background and Justification: In the framework of its strategic transformation, UNESCO launched in 2019 a project to revamp its digital ecosystem and its web governance. Following a needs assessment and analysis phase and a bidding process, UNESCO contracted an external provider to technically implement the new digital ecosystem. In this framework, UNESCO is currently looking for a Project coordinator to accompany the implementation of the new digital ecosystem. 2. Role and duties:   Under the responsibility of both the business owner and the senior supplier of the project, the project coordinator will ensure the smooth running of the project by coordinating all components of the projects and all stakeholders involved during the project, both internally and externally. The project coordinator is taking care of the communications with all stakeholders (internal and external) with a clear vision of who should be aware of what without overwhelming the several parties involved. The project coordinator will be responsible of administrative tasks, the good documentation of the project and particularly the agenda and minutes of meetings of the committees is coordinating or managing (Steering committee and Core Team). He/she will participate to technical, editorial and functional working groups. Together with the other members of the project team, he/she ensures quality control of the deliverables provided by the external contractor(s). All along the implementation of the project, the project coordinator will have to prepare and anticipate a smooth transition between the current ecosystem and the new one at all level of the Organization (project stakeholders, internal users and external targets).
3. Activities/responsibilities 
In this context, the selected project coordinator will plan and coordinate the different project activities as detailed below. Project coordination
  •  Project planning – estimation of required time, costs, quality and description of project deliverables (in terms of composition, format, required skills, acceptance criteria)
  • Monitoring of costs, time, quality against defined thresholds
  • Ensure participation of key stakeholders in the project
  • Risk mitigation and solving of issues, based on the conditions defined by project
  • Documentation of all project management products, including progress reports and project end report
Communication / leadership
  •  Preparation of Steering Committee meetings and Management of the Core Team meetings
  • Communicate goals, coordinate between the different internal teams
  • Develop a communication plan
  • Develop a training approach
  • Delegation of operational tasks to team members
  • Direct liaison/issue escalation with/to Steering Committee
  • Liaison and relationship management with suppliers related to the implementation of the digital ecosystem
Administration
  •  Financial reporting and change requests during project lifecycle
  • Preparation of terms of reference for request for proposals and supplier contracts
  •  Recording of project benefits
Ad-hoc tasks in team member capacity
  •  Contribution to drafting functional requirements
  •  Contribution to work of the teams to ensure progress
  • Contribution to quality control activities

REQUIRED QUALIFICATIONS
Qualifications required
Education
  • Advanced university degree (Master’s or equivalent) in Business Administration or Information Technology Management
  • Certification in PRINCE2 and/or other project management methodologies
Work Experience
  • A minimum of 10 years of relevant professional experience in project management, including all aspects of process development and execution.
  • Demonstrated experience in team management
  • Demonstrated experience in conducting complex and international web development project with multi-sites approach
Skills and Competencies
  • Very good knowledge of web technologies
  • Proven organizational skills, including in establishing priorities and plans as well as implementing them effectively
  • Flexible and reactive in making decisions and solving problems during unforeseen changes
  • Capability to adapt communication (both oral and written) to different audiences and levels
  • Demonstrated leadership ability, including the capacity to maintain effective working relations in a multicultural environment
  • Persuasive, encouraging, and motivating.
  • Knowledge of UNESCO environment is an asset
Languages
  • Excellent knowledge (written and spoken) of either French or English, and working knowledge of the other.
