Communications Intern


Purpose of the Role

We are looking for proactive, hard working, careful and detailed individuals to join our Communications Team at ActionAid Vietnam. The Communications Team works with teams across LRPsto communicate AAV’s activities to audiences in Vietnam with the intent to embrace community-focused projects, in particularly women, children, persons with disabilities and ethnic minority groups. The successful candidate will work closely with Communications Team to support the implementation of communication activities internally and externally. Expect to roll up your sleeves, contribute ideas and prepare to learn a lot through hands-on experience. This is a unique chance to be engaged in an international environment, participate in a wide range of projects, and gain insights about how international NGOs help marginalised people and advance sustainable development in Vietnam. Alongside supporting to deliver the communications activities, you will have ample opportunities to participate in professional events, as well as work directly with management team. Previous experience in graphic design and/or video production is preferred.

  Key responsibilities and accountabilities  

 [I] Events, Media Engagement and Partnership Development:

  •   Support logistics and administration work for activities related to branding and communications of the organization such as networking, events, campaign activities to maintain and promote the organizational branding
  • Draft event goods, service, and media contracts based on the standard templates for review and finalisation.
  • Coordinate with all relevant stakeholders, external suppliers, and vendors for event preparation, including but not limited to promotional product preparation, gift packing, guest protocol, event setup, and teardown. Use confidential, effective, and professional communication in all dealings with internal and external contacts.
  • Assist in interview setup and material printing for media engagement and event promotion.

  [II] AAV and AFV’s External & Internal Communications

  • Participate in brainstorming AAV/AFV’s Communications initiatives for national and international campaigns/projects.
  • Assist in creating promotional products for event/campaign branding (backdrops, standees, invitation letters, etc.) and graphics/videos as needed.
  • . Assist in drafting media content for events/campaigns in social media and other communication channels.
  • Support in translating press releases, and other communications materials materials from Vietnamese into English and vice versa for use on social media and website as required.

  [III] Administration

  • Welcome and inform visitors to Communications/EDO to relevant persons.
  • Timely process payment for related services of Communications Team such as EMS, stationery, hotel, international and national travel claims.
  • Maintain inbound and outbound files and records related to Communications including scanned procurement documents, approved memo, event-related referential materials, invoices, and samples
  • Assist in organizing and setting up, handle with payment claim, documents translation, meeting minutes….
  • Support to manage Marketing materials, control export-import Marketing goods in the stock and record daily reports of goods, gifts, etc.

  Others 

Other tasks as assigned by Communications Team are well performed

  Qualification

  • Relevant qualification and/or relevant experience (preferring Communications, Marketing, Journalism, Media Relations, graphic design or related fields)
  • Experience in supporting marketing/communications and event organization
  • Experience in designing and creating communications and promotional materials is a plus
