Samaritan’s Purse is a Christian humanitarian organization providing aid to hurting people around the world. With a sustainable history working in Vietnam, Samaritan’s Purse has developed strong relationships with partners to conduct projects in 6 sectors: health, WASH, education, protection, livelihood and relief.
Samaritan’s Purse Vietnam’s projects are being implemented in Hanoi, Quang Nam, the central province of Vietnam, Tra Vinh, the south of Vietnam and across the northern provinces of Lao Cai, Yen Bai and Lai Chau where the majority of people are from ethnic minority groups, often the most vulnerable or marginalized sections of the population.
We are now seeking highly qualified candidate for the following position:
Position Title: Community Outreach and Response Project Assistant
Grade: Junior Program
Position Duration: 1 year with possibility of extension
Duty Station: Hanoi with frequent travel to project locations
Reports To: Community Outreach and Response Project Manager
Job Summary:
The Community Outreach and Response (COR) Project Assistant will support livelihood, disaster risk reduction, and community outreach projects of Samaritan’s Purse International Relief (SPIR) under the direction of the COR Project Manager. He/she provides logistical, administrative, and monitoring support under the direction of the COR Project Manager. Currently, the projects take place in Yen Bai province yet may shift to other areas.
Key Responsibilities:
- Project Implementation: Support COR Project Manager and COR Project Coordinator(s) with project implementation including conducting activities, coordination, trainings, assessments, monitoring, and evaluation.
- Logistical Arrangements: Prepare logistical arrangements including transportation, accommodations, meals, and supplies for project activities and distributions.
- Training: Assist with training, development of supporting materials, and reviewing partner’s training for accuracy and applicability.
- Schedule: Manage timely completion of the project activities under the direction of the COR Project Manager in coordination with partners. Follow and update the Work Breakdown Structure (WBS) to monitor the project’s tasks every week.
- Procurement: Utilize established office procedures to ensure the project has the necessary products and/or services to complete work in a timely manner. File and organize procurement documents in the shared drive. Keep inventory of project supplies in Yen Bai storage.
- Monitoring and Evaluation: Monitoring training and activities conducted by SPIR and partners. Complete survey on training and activities to evaluate their effectiveness. Conduct interviews to collect qualitative data for reporting stories.
- Reporting and Data Entry: Compile data from surveys, questionnaires, and activities to create a summary of information for input into monitoring workbooks and reports including data software and monthly reports.
- Stakeholder, Partner, and Government Relations: Assist the COR Project Manager and COR Project Coordinator(s) with meetings, communications, and related documentation. Works to foster strong relationships with partnering authorities.
- Financial management: Request cash advances and ensure activity budgets are spent appropriately and according to donor requirements. Collects clear and accurate receipts and creates regular finance expense reports for activities completed with integrity. Reviews partner financial reporting for accuracy and meeting financial requirements.
- Documentation: Prepare documentation needed to track project activities, surveys, Independent Collaborator contracts, forms, purchase requests, etc.
- Other Responsibilities:
- Communication: Ensure proper communication with team members and partners.
- Work Environment: Nurture a positive work environment and foster a commitment to SPIR values and ethics.
- Team Support: SPIR works as a team to carry out programming and additional responsibilities will be assigned to achieve the goals.
Education/Experience Needed:
- Bachelor’s Degree in livelihood, community development, social work or education.
- At least 01 years’ experience working in community development, social work or education related field
- At least 01 years’ experience in project execution or formal training
- Strong willingness and passion to see help poor and disadvantaged in Vietnam.
Skills Required:
- Basic English-written and spoken. Fluency in Vietnamese-written and spoken.
- Excellent communication skills – written and oral.
- Excellent planning, time management and organizational skills; high level of integrity.
- Humble and mature team player; ability to be flexible and adapt.
- Comfortable using Microsoft Word, Excel, PowerPoint, and email.
- Ability to travel frequently to remote villages in varying weather conditions
